1. Meeting ID
A meeting ID number is a 9, 10, or 11-digit number automatically assigned to your meeting by Zoom. If you have reoccurring meetings, instead of needing to setup a meeting each time you have one, just use the ID number assigned to the first meeting. It’s long, but it’s easy to cut and paste from an email into a browser at a moment’s notice. Make sure the call number and password are written down, if they are assigned.
2. Chats
Outside of meetings, you can use the chat channels. Items that can be archived and pulled back up for current meetings include files, images, and screen captures. Instead of interrupting the speaker, use chat to instant message a team member or send a message to the entire group.
3. Host Controls
It doesn’t have to be frustrating to manage a meeting remotely. Zoom allows the host to manage the speaker’s audio, video, and screen-sharing capabilities. To prevent constant interruptions, the host can mute all members except the speaker and turn on a “raise hand” feature. This way, if a member has a question or comment, the speaker can open up communication to them when it is most convenient for the member to speak.
4. Screen Share Simultaneously
The host can even enable a member’s laptop to be the focal viewing point for a presentation, or to share a document that one team member may have and that others do not have, but they need to see. This function is great for team building activities, i.e., ice breakers or to share drawings among team members.
5. Active Speaker View
Zoom’s software detects which speaker is talking and changes the screen to that member’s window. The feature can be turned off if the video’s changing becomes to distracting to the meeting.
